It is our strong preference that everyone who is able sends us physical drawings of their entries to the AIA address listed. We know that printing and shipping is expensive, which is why we did not have an entry fee. However, we understand that printing and shipping may not be a financial option for some entrants. Therefore, we have developed the option of entrants mailing digital files to us on a compact disc (CD). This saves entrants the printing costs and reduces the cost of postage. These strict rules must be adhered to for this option:
1. You must email us prior to mailing us a CD to gain permission to submit a CD rather than sending physical drawings. You must explain why sending physical drawings is not financially possible for you. Once you have gained permission, you may send your CD.
2. You may only send a maximum of (3) PDFs, with maximum sizes of 18” x 24” (or metric equivalent). Files must be PDFs. Resolution should be 200 dpi. Files should be named the entrant’s or a team lead’s first and last name and the number of file. For example, JohnSmith1.pdf, JohnSmith2.pdf, and JohnSmith3.pdf would be the entrant John Smith’s file names. Which file is 1, 2, or 3 does not matter. You are not required to have three files, you may have one or two. If you choose to include the 8.5 x 11 narrative, name this file with your first name and last name followed by “Narrative.” For example, “JohnSmithNarrative.pdf” Once we receive your files, we will change the file names to a number for the jury process. Your drawings may not have any identifying marks in them, such as your name or company logo. Also, you may not write anything on the actual CD. CDs that have any written marks on their surfaces will be disqualified.
3. If we cannot open your files, they will be disqualified. We are not obligated to inform you that we could not open your files. Likewise, if your CD is lost in the mail it is not our responsibility. Therefore, please make sure that your files can be opened on multiple computers, both Macintosh and PCs, before sending. This is a risk you take submitting digital files- we may not be able to open them and they will be disqualified.
4. With your CD, you must send a physical sheet of paper of the entrant identification sheet that has your name, address, and contact information clearly typed. The guidelines for this sheet are described under the physical submissions guidelines. Please download a template of this form in one of the following formats: MicrosoftWord template or PDF template.
5. CDs should be sent to the same address as physical submissions:
AIA Seattle
Attn: Design for the Children
1911 First Ave
Seattle, WA 98101
Please do not wait until the last minute to send your entries, especially if sending internationally. International mail can sometimes be unpredictable and take longer than expected to arrive. Entries arriving after the deadline will be disqualified. Also, if you choose to send a CD, and your entry is picked to be displayed in an exhibition, you will be required to pay the printing costs at that time.
By sending us a CD, you agree to all the legal terms of this submission option.
